Installation instructions:

 

XML Faktura ® supports NemHandel and consequently the program will require a few preparations before installation. The documents that are exchanged over the Internet instead of closed networks requires 2 types of certificates. These  certificates reassure the recipient that the sender is who he claims to be and that the document is not changed during the transportation over the Internet. The program requires that .NET Framework 2.0 and 3.0 are installed on the PC / server. Since the Frameworks are not part of windows components for WIN XP, they are added as prerequisites and will be included in the installation process.

 

 

To ensure proper installation, these instructions must be followed in the correct order:

  1. Buy / get an employee certificate
  2. Buy a Functional certificate
  3. Create 2 mail boxes for this purpose
  4. Install XML Faktura Viewer
  5. Set up standard settings in XML Faktura
  6. Import of partner infomation
  7. File structure – where are the files
  8. File FormatID
  9. Default settings
  10. User Guide
  11. Windows service / service

Employee Certificate

 

You should start by ordering an employee certificate if you do not possess one already. It needs to be an LRA certificate. Har du kun brug for max.If you only require a maximum of 10 additional employee certificates, it can be obtained for free. (LRA Minimal) (LRA Minimal)

 

The administration of certificates is currently being done by TDC.

Note: It can take up to a week before you can use the certificate (paper work)

 

It is important that the installation of certificates is done by the same person/windows user account as the one that will use the XML Faktura ®.

Shall XML Faktura ® run as a service, it must also be the same account that is specified in the Windows service.

 

If you have multiple companies and therefore more employee certificates, it is very important for you to know which are at the top of the list in order to choose the right employee certificate during installation.

Function Certificate

 

A Functional certificate obtained at www.tdc.dk is also required. The cost is 161, - DKK (April 2008) and it has a lifetime of 2 years. You will need to be in possession of an employee certificate in order to obtain a Functional certificate. Your employee certificate must be used to log on to www.tdc.dk

 

It is important that the installation of the Functional certificate is done by the same person/windows user account as the one that will use the XML Faktura ®.

Shall XML Faktura® run as a service, it must also be the same account that is specified in the Windows service.

 

We have had trouble viewing the page correctly with Internet Explorer (7.0). However, there are no issues with other browsers such as Safari.

 

You must supply the following:

- Name your certificate. For example. 'E-commerce'.

- Enter contact.

- Create/select user group

 

The certificate is automatically installed on your computer.

 

Mail addresses

 

You need to create 2 mail addresses that are exclusively used for this purpose. Du skal bruge én til afsendelse og en til modtagelsen. You need one for sending and one for receiving.

The Viewer allows you to see the documents, print document and resend returned documents, without having to start main application.

 

 

Basics:

 

After installation start by setting the default settings:

 

Admin setting: (menu on the left side of the screen)

 

Enter the administrator email. This mail  account will receive any error messages from the program.

 

Select desired language – da-DK for Danish, en-US for English, fr-FR for French. More language s will be available in the future.

 

Install service – Windows service is installed when checked and removed when unchecked.

 

Start service – Windows service is started when checked and stopped when unchecked. Please check properties on the service to type in the right user account/password (the same  user who installed the certificates)

 

Run with computer – When checked, the service runs 24/7 or as long as the computer is started.

 

Start time and Stop time –  When checked and ‘Run with computer’ is not checked, the program will run from Start time until Stop time.

Do NOT use 24:00 as End Time, use 23:59

 

Except weekends – When checked, the program willnot use Start time and Stop time during weekends.

There are 3 leaflets you can designate:

Path to the deployment folder:
Pinpoint the folder that contains the invoice files your ERP system (can be. CSV files or OIOXML /  OIOUBL  files)


Nemhandel main directory:
This should not normally be changed


Documents folder:
This is the path to external documents.  You have the ability to attach TIFF, JPG, PDF and XML  documents to your bill.
When you form your invoice, save a document in the folder BEFORE you send it. Please note that the document MUST have the same name as the invoice number for the program to include it in  the invoice.


Not all beneficiaries will be able to read the attached document. Contact your customer / supplier if  you have any issues.


For automatic delivery of the invoices you provide, tick the checkbox next to 'Automatic  dispatch of documents'


'Private gateway sending', contact MailEDI if you need to send via private  gateway.
Please Note! There are a charge for each document send using the private gateway.
 

 

Select the tab "Certificates"

Select the functional certificate for both 'Send' and 'Receive'

You have to set up both POP3 and SMTP server for sending and receiving documents. This is due to fact that is uses reliable messaging when sending.SMTP server may want to be the same for both sending and receiving.

Select the tab "Http"

 

For reception via HTTP instead of POP3,  tick the  checkbox 'http Receiving'. Check that the program  took the correct IP address. If necessary, this can be done by calling http://www.myip.dk
If port 80 displays an error message such as another program listening on that port. Insert: 81 after  the IP address to use port 81 instead. (Eks.: 101.1.1.1:81) (Example: 101.1.1.1:81)
If your computer is behind a router/firewall, traffic to port 81 are routed to the IP address of the  computer. Check with your IT department for more help.
REMEMBER to select 'Setup | Profile Configuration' after selecting http receiving. This saves the setup  information in the UDDI  so that your customers  can send you documents via HTTP. (see next  section for more information about profile configuration)

You are now ready to send electronic documents.

The following points should be used only if you must send documents to trading partners who do not wish to receive XML. You can use PartnerKartoteket for example to send invoices in Html format.

Second setup:

 

Imports

 

You can import the partner Information if you have clients who will receive documents other than OIOXML / OIOUBL .

 

Files with partner information MUST be called 'Partner.csv', 'StyleSheet.csv' and 'ImportSettings.csv'. It MUST also be of the  same format as the example files provided.

 

ImportSettings.csv is not necessary if your input files have the default format. (91 header fields)

Normally, imports will happen automatically when files are copied into a folder:

 'C: \ Users \ [name] \ AppData \ Roaming \ NemHandel \ Import'

Field Description

 

We have been obliged to alter a little the field description for outgoing invoice.
New fields are marked with 'NEW' in the columns, which has gained new significance

 

Field number 2 MUST be EAN if the invoice is to be sent to the public.
Rabat fields are changed so that they consist of 3 amounts to create the calculation of pre-approved invoice.

 

Rabat basis * discount rate = rebate amount
For example.: 5000.00 * 0.02 = 100.00 means that the customer receives 2% discount of 5000, which is 100 kr

We use Microsoft's Click Once technology for installation and update purposes.  This means that the file structure of the program and data are very different from the first version.

Default settings

 

You do not usually need to change the Default setting. But here the program will find the stylesheet for the transformation of the XML file. If you change the setup, the program MUST be restarted before you can post again.

User Guide

We use Clickonce from Microsoft for installation/updates.When the program is set up correctly, the bottom right hand corner of the application will display: 'Ready to receive'

The screen has the similar structure to email clients such as 'Outlook'. The Right hand side displays the folder structure and left side are content pane.

 

SENDING:

Outgoing documents and ready for sending are shown by clicking on 'Not send'

Select documents that you want to send and click 'Send selected document (s)'

NB! If you selected 'Automatic sending of documents 'during the setup | Configuration, there will not be some documents here.

The document is moved to 'sending' and sent to the recipient

 If the shipment is OK, documents are moved to 'receipt'

If the shipment is wrong, documents are moved to 'returned'

To see the error message, select 'Returned' and double-click the document or select the document and click on 'View'

The document viewer contains 2 tabs, 'Document' and 'Status Information'

If you need to add additional information in a document (spec. over invoice details) this can be done in this way:

When  the invoice is generated and the invoice number is known, you must name the document with the invoice number and copy the file into the folder 'Documents \ Documents-out'

 

The document types that can be used are:

 

1.   TIF/TIFF TIF / TIFF

2.   PNG

3.   JPG/JPEG JPG / JPEG

4.   GIF

5.   PDF

6.   XML

 

For example.  you will usually be able to save Word and Excel documents in XML format

 

You have to agree that not all public customers will be able to receive/use the attached document yet but could over time. Contact customer if you are in doubt.

 

Documents received will be placed in the folder: 'Documents \ Docs in.'

 

RECEIPTS:

Incoming document (s) are displayed by clicking on 'Inbox'

 

Service/tjeneste Service / service

 

During installation, a Windows service is created. The service is not started by default and must be activated by the user.

 

Should the service be activated, it is important to change  the characteristics of the service.

 

On 1st tab ( "General") is usually selected the start type: Automatic

On 2nd tab ( "Login") Select"This account” which should be the user who has installed the program and the certificates. Fill in the password and confirm again.

 

IMPORTANT: When using this service, it MUST be stopped if you want to start the program manually using the start menu.

  • Stop the service 'MailEDIScheduler'
  • Open the program manuel
  • Choose Admin Settings - else will the service restart and the program will close down
  • Remove the choise in 'Start service' og 'Start with computer'
  • Choose a different menu, i order to save changes

 

You can now work with the program manually.

If you want the service to run again after end task, please choose setting again.
